Tips & Tricks
Power user techniques to get the most out of PDF Micro Suite.
Workflow Optimizations
- Split Markers: Instead of manually splitting, add split markers while reviewing, then split all at once from Edit โ Split by Markers.
- Clipboard Power: Copy pages once (โC), then paste multiple times in different positions or even different documents.
- Multi-Window Editing: Open the same PDF in multiple windows to compare or copy pages between different sections.
- Quick Rotation: Use โL and โR to rotate without touching the mouse.
AI Chat Tips
- Scope Selection: Select specific pages before chatting to focus AI on just those pages for faster, more relevant answers.
- Local AI: Use Ollama for 100% private processing โ no internet, no API keys, no data leaving your Mac.

- Bulk Metadata: Use batch processing to remove metadata from entire folders of documents at once.
Hidden Features
- Interleave PDFs: Found in File menu โ alternates pages from two PDFs (great for front/back scans).

Frequently Asked Questions
No! All core PDF operations work completely offline. Internet is only needed if you choose to use cloud AI providers (Anthropic, OpenAI, OpenRouter). For fully offline AI, use Ollama with local models.
Never. All PDF processing happens locally on your Mac. When using cloud AI, only the text content of your document is sent (not the file itself), and only when you explicitly ask a question. For complete privacy, use Ollama for 100% local AI.
No subscriptions. PDF Micro Suite is a one-time purchase of $39.99. You own it forever, including all future updates. The only ongoing cost would be if you choose to use paid AI providers (your own API keys).
Scanned PDFs are images โ they don't contain extractable text. Run OCR first (Edit โ Perform OCR) to convert the images to searchable text. After that, AI features will work normally.
Yes! PDF Micro Suite uses your own API keys for cloud AI providers. This means you pay only for what you use at standard API rates, and you're not locked into any subscription. Keys are stored securely in your Mac's Keychain.
Split divides the original PDF into multiple separate files at specified break points. Extract pulls out selected pages into a new PDF while leaving the original unchanged. Use Split when you want to break up a document; use Extract when you want to copy specific pages.
Yes! Full undo/redo support is available. Use โZ to undo and โโงZ to redo. Changes aren't saved until you explicitly save the file, so you can always close without saving to discard all changes.
Yes, but you'll need to enter the password first. Go to Edit โ Unlock PDF and enter the password. Once unlocked, all features work normally. You can also add password protection to any PDF via Edit โ Protect PDF.
Yes! PDF Micro Suite automatically detects fillable form fields. Click on any text field, checkbox, radio button, or dropdown to interact with it. Use Tab to move between fields. You can also create new form fields and flatten filled forms for distribution.
Go to Edit โ Add Signature. You can draw your signature using your mouse/trackpad, type your name with a signature font, or import an image of your signature. Once created, signatures are saved for reuse in future documents.
Yes! Go to File โ Export to Word to convert PDF content to an editable .docx file. Note that conversion accuracy depends on the PDF complexity โ simple text documents convert best. For scanned PDFs, run OCR first.
Redaction permanently removes content from a PDF while leaving the page intact โ the redacted area is replaced with a black box. It's used for removing sensitive information from documents you need to share. Deletion removes entire pages from the document.
Yes! PDF Micro Suite supports rich media embedding. Go to Edit โ Insert Video or Edit โ Insert Audio. You can also attach any file to a PDF using Edit โ Attach File. Note that recipients need a PDF viewer that supports rich media to play embedded content.
Use the Interleave feature! If you have two PDFs โ one with all front pages and one with all back pages โ go to File โ Interleave PDFs. This alternates pages from both files to create a properly ordered document.
Yes! PDF Micro Suite provides Shortcuts actions for common operations like Merge, Split, Rotate, Compress, Add Watermark, and Extract Text. Open the Shortcuts app and search for "PDF Micro Suite" to see all available actions. You can also add these to Quick Actions for right-click access in Finder.
Yes! Install Ollama on your Mac and download a model (we recommend llama3 or mistral). In PDF Micro Suite, go to AI โ AI Settings, select Ollama as your provider, and choose your downloaded model. All AI processing then happens locally โ no internet connection or API keys needed.
PDF Micro Suite supports: highlights (multiple colors), underline, strikethrough, sticky notes, text boxes, lines, arrows, rectangles, circles/ellipses, and digital signatures. Enable annotation tools with โโงA or View โ Toggle Annotations.
There's no hard limit. You can add hundreds of files to batch processing. Processing time depends on file sizes and the operations you've selected. You can chain multiple operations (e.g., compress โ watermark โ add page numbers โ encrypt) that all run automatically on every file.
Yes! PDF Micro Suite supports Apple Family Sharing. One purchase covers up to 6 family members. Just enable Family Sharing in your Apple ID settings, and family members can download the app from the Mac App Store for free.
Troubleshooting
Solutions for common issues.
Common Issues
"AI Credentials Required" error
You need to configure an AI provider. Go to AI โ AI Settings and enter your API key for Anthropic, OpenAI, or OpenRouter. Alternatively, install Ollama for free local AI.
"No text found in document"
The PDF is likely a scanned document (images only). Use Edit โ Perform OCR to extract text before using content-based features.
AI responses are slow
Try using a faster model (e.g., GPT-3.5 instead of GPT-4), or reduce the search scope to selected pages only. Local Ollama models depend on your Mac's processing power.
Can't open a PDF
The file may be corrupted or not a valid PDF. Try opening it in Preview first. If it opens there, try File โ Print โ Save as PDF to create a fresh copy.
Changes aren't being saved
Make sure to use File โ Save (โS) or File โ Export. If you don't have write permission to the original location, use Export to save to a different folder.
Voice input not working
Check that microphone permissions are enabled for PDF Micro Suite in System Settings โ Privacy & Security โ Microphone. The first use may prompt for permission.
Form fields aren't clickable
The PDF may not have fillable form fields โ it might just be an image of a form. If that's the case, you can add form fields yourself using Edit โ Add Form Field, or use text annotations to fill in the blanks.
Annotations aren't showing
Make sure the annotation toolbar is enabled. Press โโงA or go to View โ Toggle Annotations. If annotations exist but are hidden, check View โ Show Annotations.
Watermark is too dark/light
Adjust the opacity setting when adding watermarks. For visible watermarks, try 30-50% opacity. For subtle watermarks, try 10-20%. You can always undo and re-add with different settings.
Export to Word looks wrong
PDF to Word conversion works best on simple text documents. Complex layouts, multi-column documents, and heavily formatted PDFs may not convert perfectly. For scanned documents, make sure to run OCR first.
Embedded video won't play
Make sure the video format is supported (MP4 is most reliable). Also note that recipients need a PDF viewer that supports rich media to play embedded content โ not all viewers do.
Batch processing seems stuck
Large files or complex operations can take time. Check the progress indicators for each file. If a specific file is causing issues, try removing it from the batch and processing it separately.
Ollama connection failed
Make sure Ollama is running on your Mac (check for the llama icon in the menu bar). If you just installed it, you may need to download a model first using ollama pull llama3 in Terminal.
